COVID-19 PANDEMIC INFORMATION

​We understand this situation is growing, and at this time, we cannot guarantee a full refund for individual OR GROUP cancellations due to the rising concerns of COVID-19 Pandemic. Many vendors are making individual decisions based on each cancellation and the conditions surrounding the decision to cancel trips.

SOME VENDORS aren’t issuing refunds at all and may not allow us to reschedule these experiences in the future for your groups.  We are keeping close tabs on our vendors that are choosing to enforce STRICT measures during this trying time.

If cancellation of your CURRENT trip and date is imminent, I would like you to consider RESCHEDULING your trip instead of CANCELLING altogether.  Securing future travel dates before contacting vendors will aid your Student Group Tours' Representative in planning your future trip (to the same destination) AND securing maximum credit to the RESCHEDULED trip contract. If this is a possibility, we can maximize your monies already spent and MINIMIZE future financial impact of travel expenses/increases due to rescheduling the trip dates. Please note we cannot guarantee re-scheduling will be successful, but we will work diligently to do so.

CANCELLATION without rescheduling:
We comprehend these decisions are out of your hands, and all of us are at the mercy of higher authorities than ourselves. If cancellation without rescheduling is imminent, please contact your Student Group Tours' Representative ASAP and provide us with:
  1. Letters from your administration (school board/ county/local administration/etc) not allowing travel (on letterhead)
  2. PUBLIC MINUTES/press release or any official written documentation cancelling the trip if available
  3. A PERSONAL letter detailing the unique situation of your group and the unfortunate events that surround this cancellation: please include all the fundraisers your group participated in, what percentage of your school is free/reduced lunch, if your school receives Title I Funding, etc.  this letter should personalize your struggle and give the reader a sense of your situation: not just another group—as these cancellations become more frequent, the concern of our vendors becomes less. (on letterhead if available)
 
PLEASE KNOW: Student Group Tours Inc. will do all we can to secure refunds, and 100% of any monies recouped will be refunded to the group.  However, we may not secure any refunds-some vendors are growing “numb” to the situation and are using the CDC verbiage regarding domestic travel and loopholes within their contracts to retain funds.
